Herts Digital Documents 

Find out more about the secure online document portal for University of Hertfordshire graduates 

Herts Digital Documents gives graduates access to a digital version of their certificate via a secure online portal. This portal allows graduates to share their documents safely with prospective employers or other third parties, anywhere in the world. 

Once the Board of Examiners has confirmed your award, your hard copy certificate will be posted to you, and your digital certificate will be published to Herts Digital Documents. When your digital certificate is ready, you’ll receive an automated email requesting you to register for an account. You’ll need your Student Number and other personal details to register.  Please do not set up your account until you are invited by email to do so. 

You can view any certificates you have gained after 1st July 2024 on Herts Digital Documents. If you have other previous certificates from the University of Hertfordshire, these won’t be available digitally yet. We’ll let you know when they are. 

Transcripts aren’t available to view digitally on Herts Digital Documents yet. It’s planned that these will be available in early 2025, along with the accompanying diploma supplement. 

Qualification Documents: Certificate, Transcript & Diploma Supplement 

On Herts Digital Documents, we use the word “qualification” to describe the award you receive when you finish a programme of study. This includes final awards and interim awards. Your qualification documents include your certificate, your transcript, and your diploma supplement.  

Your certificate is the final one-page document that you receive once you finish your programme of study. It shows your name, your programme details, and your overall qualification.  

Your transcript often has more than one page and it’s cumulative. This means it contains details of every module you’ve taken for your current qualification and for any previous qualifications you’ve done with the University of Hertfordshire. Transcripts contain a lot more information than your certificate. 

The diploma supplement is a general page of supporting information that accompanies your transcript. It gives more information about the details contained in your transcript. 

Sharing your certificate 

Once you’ve logged in to Herts Digital Documents, you can create connections with Third Parties. Third Parties are any other organisation that is not you or the University of Hertfordshire. For example, they might be a prospective employer, a training provider, or another university. 

When you create a connection, you’ll need the name and email address of the person you’d like to share your digital certificate with. You’ll then be able to choose the exact expiry date for that connection. The Third Party that you’re creating the connection with will only be able to view your certificate until the date that you choose.  

When you create the connection, the Third Party will receive an automated email asking them to create a log in if they haven’t used Herts Digital Documents before. You may want to let the Third Party know to expect this email. You can also include a message to the Third Party when you create the connection, which will appear within the automated email. 

The digital version of your certificate is only valid when viewed and shared on Herts Digital Documents. 

Social media via Herts Digital Documents 

On your Herts Digital Documents profile, you have the option to add links to your personal social media pages. If you want to use this feature, we strongly advise you to only add a link to your LinkedIn page. Remember that any Third Party you connect with, including prospective employers, will be able to access any personal social media sites that you link to.
