Use the Third Party Authorisation form to give permission for a parent, guardian or other nominated person to speak to Ask Herts or Student Administration on your behalf about specific aspects of your student record.

Can someone contact the University on my behalf?

If you study at the University of Hertfordshire in Hatfield, you can give permission for someone to speak to Ask Herts or Student Administration on your behalf.

To do this, complete the Third Party Authorisation form using your student account.

Please note: This authorisation only applies to Ask Herts and Student Administration. It does not cover other departments such as Admissions, Wellbeing or Careers. You will need to contact those teams directly to make separate arrangements.

Before you apply

  • You must be a current student with University login details.
  • You must be logged in to your student account to access the form.
  • The person you nominate will only be able to discuss the areas you authorise.

What can my nominated person discuss?

You can authorise someone to discuss:

  • Tuition fees, payments and debt
  • Student loans, funding, financial support and hardship
  • Accommodation, fees and deposits
  • Visa and immigration matters
  • Student and course records, including modules, grades and awards
  • Attendance and engagement, including withdrawals and reinstatements
  • Registration status and mode of study
  • University correspondence, transcripts and letters
  • Reference requests

How does it work?

Once your form has been processed:

  1. Your nominee's details will be added to your student record.
  2. A unique sharecode will be generated.
  3. The sharecode will be emailed to you.
  4. Your nominee must quote the sharecode whenever they contact Ask Herts or Student Administration about an authorised matter.

How long does the authorisation last?

Third Party Authorisation remains valid for 90 days unless:

  • You withdraw it sooner, or
  • The University removes it.

How do I remove someone's access?

To withdraw authorisation, contact Ask Herts and provide:

  • The nominee's name
  • Their relationship to you
  • Their email address
  • The sharecode
  • Confirmation that you want the authorisation removed

It is your responsibility to keep your sharecode secure and only share it with the person named on the form.
