How to make a Timetable Change Request
There are many constraints that go into the construction of a timetable. Whilst our ambition is to create a student friendly timetable, we have to consider room capacity, staff availability, student availability and avoid clashes.
If you find yourself in the situation where you cannot manage the timetable offered you may request a review per the below:
If your current timetable does not suit your personal circumstances, for example, if you have a long term health condition, you may request a timetable change by completing the Timetable Change Request Form below.
What to do before submitting a request
Please carefully review the criteria below to understand which reasons may or may not be accepted. All requests must be supported by appropriate evidence, which is outlined in the relevant sections.
If you need to attach your student status letter but have not yet received one, you can request a student status letter. The letter will be delivered to your inbox within 20 minutes.
It is your responsibility as a student to prioritise your academic studies and class attendance above other commitments, including employment. Failure to attend classes may result in a breach of your visa conditions.
Please note:
- Meeting one of the acceptable criteria does not guarantee that your request will be approved.
- All requests are reviewed on a case-by-case basis.
- If your request is denied, you will not be able to submit another request for the same reason.
Acceptable reasons for Timetable Change Requests
Evidence to support your request will be required for all the following reasons.
- Medical reasons: NHS-provided documentation is required. Evidence from outside the UK may be considered, but only for ongoing or regular treatment needs.
- Childcare commitments: A birth certificate showing you as the parent/guardian must be provided.
- Pregnancy: A hospital or doctor’s note is required.
- Excessive on-campus days (more than 3 per week): Submit a copy of your current timetable.
- Carpooling or partner-based travel: Considered on a case-by-case basis. Student status letters from both students are required.
- Level 6 workload: Where feasible, requests will be considered with a copy of your student status letter.
⚠️Failure to submit the correct supporting evidence will result in automatic rejection of your request. You will need to re-submit the form with the required documentation attached.
Requests that will not be accepted
The following reasons will not be considered valid grounds for a timetable change:
- Employment
- Prayer commitments
- General travel inconvenience
- Preference to match friends’ schedules
- General dissatisfaction with your current timetable.
⚠️ If you live more than 30 miles from campus, this may have visa implications. Please consult the Student Immigration Team for guidance.
Timetabling Decisions
- Not all requests will be granted.
- If approved, changes will be made automatically, and you may not be able to choose specific days or times.
- We will make every effort to accommodate your circumstances based on the evidence provided.
