Which documents do I need to upload for registration?

Find out which identification documents you need to upload to complete registration, including requirements for UK and Irish students, students with EU Settlement Scheme status, and students with Indefinite Leave to Remain (ILR).

Before you start

This page is for Home students only.

If you are an international student or hold a time-limited visa, you must attend face-to-face registration. See What documents to bring to face-to-face registration for details of the documents you need to bring to your registration appointment.

 

How to upload your documents

Upload your documents via the link on your Joining Portal using your University account:

username@herts.ac.uk
(for example: ab12cde@herts.ac.uk)

Before uploading:

  • Documents must be in PDF or JPEG format.
  • Each file must be 6MB or less.
  • Ensure the photo/scan is clear and legible with no glare or blur, and the full document is in view (including the Machine Readable Zone at the bottom of a Passport photo page, if you are uploading your Passport).

If you are struggling to upload your documents using the Joining Portal, please instead email clear copies/photos to us on Registration@herts.ac.uk. Include your student ID number in all correspondence so we can locate your record.

 

Which identification documents should I upload?

The documents you need to provide depend on your immigration status.

UK and Irish citizens

Preferred document

  • UK or Irish passport (photo page)

If you do not have a passport

Upload both:

  • Full birth certificate
  • UK photocard driving licence

Neither of these documents alone is accepted.

You must meet the criteria for British citizenship to register using a birth certificate.

If you do not have a driving licence, you can apply for a provisional driving licence.

Failure to provide valid identification may delay your registration.

Students with EU Settlement Scheme (EUSS) status

Upload all of the below:

  • Passport (photo page)
  • eVisa share code from the UK Government website. Select "To prove my immigration status for anything else" when prompted to provide a reason. Right to work and right to rent share codes cannot be accepted.
  • Home Office letter confirming your EUSS status

If you do not have the Home Office letter, provide the date your status was granted.

If you have pre-settled status, you do not need to attend a face-to-face registration appointment. Please upload the documents stated above and we will process your registration remotely.

Students with Indefinite Leave to Remain (ILR) 

Uploadall of the below:

  • Passport (photo page)
  • eVisa share code from the UK Government website. Select "To prove my immigration status for anything else" when prompted to provide a reason. Right to work and right to rent share codes cannot be accepted.

If you have been granted Indefinite Leave to Remain as a Refugee and do not hold a Passport, please instead upload your Travel Document if you have one. If you do not have any form of ID, get in touch with us for guidance on Registration@herts.ac.uk.

 

Additional legal ID documents

If the name on your University record does not match your identification documents, upload supporting evidence such as:

  • Marriage or civil partnership certificate
  • Deed poll or legal name change document
  • Passport (if not already provided)

Important: The name you register with will be used throughout your studies and on your final award certificate. Any future changes will require supporting evidence. See this page for guidance on how to change your name on the student record system after you register.

 

How to create an immigration share code

From Autumn 2024, Biometric Residence Permits (BRPs) were replaced by eVisas.
