Important: Service Update
Plan ahead – student and staff print, copy, scan service unavailable 09:00 – 17:00 Friday 1 November and Monday 4 November while essential upgrade works take place. Weekend printing services will remain unaffected, so staff and students can print and use the service as normal during this time. Where can I print, copy or scan my work on campus?
Self-service print, copy, and scan devices are available inside both LRCs.
Additional print, copy, scan devices are available across campus. Find your nearest 'print copy scan' machine using the Maps feature on the Herts Mobile app - just search for Herts Mobile in your app store.
Printing and other reprographic services are also available from Document Services who are here to help you with all your printing needs:
- printed copies of assignments and projects for school submission or personal use
- print, copy or bind any documents, but especially anything complex, or if you need a professional finish to your work
- purchase supplies for self-service printing and binding.

Credit Your Print and Copy Account
To use the print, copy, scan machines in the Learning Resources Centres you need to have credit in your print and photocopy account.
To help get you started, we automatically add a £5 print credit to student accounts at the start of your academic year.
- Once you have completed registration, it can take a few days for the £5 print credit to appear on your student printing account.
- In the meantime, you may wish to add a small amount of print credit yourself, with £1 being the minimum.
- Library and Helpdesk will not be able to add print credit for you.
Crediting your account:
- Go to printing.herts.ac.uk and log in with your username and password. Please note that from Tuesday 16 July, if you are either off campus OR if on campus but NOT on eduroam/UHWifi you will need to use our VPN service to connect to printing.herts.ac.uk.
- Select ‘Add credit’.
- Follow the instructions to credit your account for as little as £1.00 using your credit or debit card.
- Please make sure the 'shipping address' matches the address on your credit/debit card account.

Unused Credit
Unused print credit will not be refunded.
- It is possible to transfer outstanding credit to another UH print user: just log in to printing.herts.ac.uk and select 'Transfers' from the left-hand menu.
- If you are a PGR student who has received print credit from your School the unused amount should be returned (internally) to your respective School.

Printing from your own device or a University computer
Using your own device or a University computer in one of the LRCs you can send your work to print and pick up at any of the print, copy, scan devices across campus within 72 hours.
You activate the print, copy, scan machine with your University ID card. The first time you do this you will be asked to associate your card and you will need to enter your username@herts.ac.uk and your password.
When printing for the first time, please read the relevant self-help guide below for step-by-step instructions for the different device types.
Some devices will require you to download a printing app first, which will be detailed in the guide for your device.

Preparing and printing posters in the LRCs
You can print posters in both Learning Resources Centres (LRCs) on campus.
Before you start please make sure you:
- Use the recommended software to create your poster – posters are best printed from Microsoft Powerpoint (.ppt files) or Adobe Reader (.pdf files)
- Resize your poster to the correct size and check that all software applications and printer settings are correct when you print. We accept no responsibility for incorrectly formatted posters sent to the printer.
- Have enough credit in your Print Account. See credit your print account. The price for printing a large format poster (A2, A1, or A0) is £5.00.
- Release your print job within 15 minutes of sending it to the printer or it will be cancelled.
Allow enough time to print and collect your poster. Print queues can build up significantly, especially close to assignment deadlines. Your poster can be collected at the following times:
- Term time: Monday-Friday at 10:00, 14:00, and 16:00
- No collection on weekends, bank holidays, and University holidays
- Please note that posters will be disposed of if not collected after 5 working days.

Printing, Binding, and Copying Services and Supplies
(Document Services)
Service update: Please plan ahead as Document Services will be temporarily closed from Friday 25 to Tuesday 29 October while new print room machines are installed. Please note:
- The service will reopen at 08:30 on Wednesday 30 October.
- You will still be able to collect work ordered before that date from the collection area during this time.
- Staff should allow a 5-7 working days lead time and students a 3-day lead time to ensure jobs are completed for collection prior to the closure period.
- If you need any posters printed at short notice during the closure period, you can use the poster printing service in the Learning Resources Centres.
For a friendly service, with experience of all printing requirements make Document Services your first port of call.
If you need to print, copy, or bind any documents, especially anything complex, or if you need a professional finish to your work, it is recommended that you contact Document Services. You can also purchase supplies for self-service printing and binding.

- If you are a PGR student and a staff member, please remember to submit work-related jobs using the process outlined on HertsHub and use your staff username.

Large format printing up to A0
- Large format lamination is available up to A0 in matt or gloss finish.
- Costs for large format printing sizes are available in our price list. Other lengths are available - please call us to discuss prices and materials.
- Collection time provided on submission of your file/s.
- Please note your document can only be accepted in a single file pdf format. Please indicate the name and path of the relevant file when you submit your document.
Printing and binding supplies
- You can purchase binders and card to take away to use. Please note that there are no self-service binding machines available in the LRCs.
- If you require specific materials for your job, please contact us a week in advance to allow us time to purchase the required stock.
- If you provide your own stock, please check the suitability with a team member prior to submitting it. Where possible we also require the make, stock type, and weight.
- Stock must remain flat for us to cut to size for you.
Pricing and payments
- Please see our Document Services price list for students.
- Document Services operates a cashless system and can take payment by credit or debit card.
- Please be aware that payment cannot be taken from your print credit account (as used on the self-service printing devices around campus).
How soon will my print job be ready for collection?
- Document Services will try to produce work as quickly as possible, but this will vary according to the requirements of your job.
- Certain times of year are busier than others, for example before and during the start of term the lead time can be up to 3-5 working days

Submission and collection process
Points to Note:
- We can only process colour print jobs if you provide them in pdf format.
- If you submit your work electronically after 3 pm, the time starts from 8.30 in the next morning.
- We reserve the right to make changes to this and our general procedures as guidance and needs arise.
